HR & Payroll
HRMS buying guide: 12 questions to ask before you choose HR software
An HRMS touches every employee’s salary, leave and data. These twelve questions help you separate a good demo from software that will actually work for your company.

A human resource management system (HRMS) handles some of the most sensitive work in your company: salaries, statutory deductions, attendance and personal data. Switching later is painful, so it pays to ask hard questions up front.
Use these twelve questions in demos and reference calls. They are grouped by area so you can share them with HR, finance and IT.
Payroll and compliance
1. Which statutory deductions does it calculate automatically?
For Indian payroll, the system should handle Provident Fund (PF), Employees’ State Insurance (ESI), professional tax, labour welfare fund and TDS on salary under both the old and new tax regimes. ESI applies to employees earning up to ₹21,000 a month, and PF is mandatory for establishments with 20 or more employees — the software should apply these rules for you.
2. Which reports and returns does it generate?
Ask for Form 16, Form 24Q, PF ECR files, ESI returns and bank transfer files in your bank’s format. Ask to see real sample files, not screenshots.
3. Can it run payroll in other countries?
If you have, or plan to have, employees abroad, check which countries are supported natively and which depend on partners.
Attendance and leave
4. How do employees mark attendance?
Options include web check-in, a mobile app with geo-fencing, selfie verification and sync with biometric devices. Shift-based teams need rosters, overtime rules and night-shift handling.
5. Can leave policies differ by location and employee type?
Holiday calendars vary by state, and leave rules often differ for interns, contractors and permanent staff. Make sure the system handles this without workarounds.
Employee experience
6. What can employees do on their own?
Good self-service covers leave requests, payslips, tax declarations, proof uploads, reimbursements and profile updates — on a phone, not just a desktop.
7. Does it cover the full employee life cycle?
Recruitment, onboarding, performance reviews and exits generate data that payroll needs. A connected HRMS avoids re-entering joining dates, salary revisions and final settlements.
Integration and data
8. Which systems does it integrate with?
Typical integrations include accounting (for salary journal entries), your email and identity provider (for automatic account creation), and project tools (for timesheets). An all-in-one suite like BlueSyntex People shares this data natively.
9. How will our existing data be migrated?
Ask who does the migration, how historical payroll and leave balances are handled, and whether a parallel payroll run is included before go-live.
Security and privacy
10. Where is employee data stored and who can see it?
Employee records are personal data under the DPDP Act, 2023. Ask about data location, encryption, role-based access, audit logs and certifications such as SOC 2 and ISO 27001. Read more on our security page.
Cost and support
11. What is the real cost per employee?
Compare the per-employee price including GST, implementation fees and paid add-ons such as payroll for extra countries or advanced performance modules.
12. What support do we get during payroll week?
Payroll has hard deadlines. Ask about support hours, response times and whether you get a named contact during the first few payroll cycles.
